Information We Collect

Running a budgeting platform means we need certain information to make things work. Here's what we collect and why we need it.

Personal Details You Give Us

When you sign up or use sylphiovian, you share information with us directly:

  • Your name and email address for account creation
  • Financial goals and budgeting preferences
  • Transaction data you input for budget tracking
  • Communication preferences and feedback
  • Payment information for premium features (processed securely through third-party providers)

Data We Collect Automatically

Like most websites, we automatically gather some technical information when you visit:

  • IP address and general location (city level, not your exact address)
  • Browser type and device information
  • Pages you visit and features you use
  • Time spent on our platform
  • Referring websites that brought you here

Australian Privacy Principle Compliance: We collect and handle your personal information in accordance with the Privacy Act 1988 (Cth) and the Australian Privacy Principles (APPs). This means we only collect information that's reasonably necessary for our budgeting services.

How We Use Your Information

We're not in the business of selling your data. Everything we collect serves a specific purpose for making sylphiovian better for you.

Sharing and Disclosure

We keep your information close. But running an online service means working with some trusted partners.

Service Providers We Work With

These companies help us operate sylphiovian, and they only access what they need:

  • Cloud hosting providers for secure data storage
  • Payment processors for handling subscriptions (they never share full payment details with us)
  • Email service providers for delivering account notifications
  • Analytics tools for understanding how people use our platform
  • Customer support software for managing help requests

When Law Requires It

We'll disclose information if legally required — court orders, government investigations, or protecting someone's safety. We're not fans of this, but sometimes it's necessary.

What We Don't Do: We don't sell your personal information to advertisers. We don't share your budget details with third parties for marketing. We don't use your financial data for purposes beyond what you signed up for.

Your Privacy Rights

Under Australian privacy law, you have significant control over your information. Here's what you can do:

Access Your Data

Request a copy of all personal information we hold about you. We'll provide it in a readable format within 30 days.

Correct Information

If something's wrong or outdated, let us know. We'll update your records promptly.

Delete Your Account

Want to leave? You can request deletion of your account and associated data at any time.

Opt Out

Unsubscribe from marketing emails or adjust communication preferences in your account settings.

Data Portability

Export your budget data in common formats to use with other services if you decide to move on.

Lodge a Complaint

If you're unhappy with how we've handled your information, you can complain to us or the Office of the Australian Information Commissioner.

How to Exercise These Rights

  1. Email info@sylphiovian.com with your request. Tell us specifically what you need — access, correction, deletion, etc.

  2. We'll verify your identity by asking for account details or sending a confirmation to your registered email.

  3. We'll process your request within 30 days and send you confirmation or the requested information.

  4. If we can't fulfill your request for legal reasons, we'll explain why in writing.

There's no charge for most requests. If something requires significant effort (like retrieving years of archived data), we might charge a reasonable fee, but we'll tell you upfront.

Data Security Measures

We take security seriously because your financial information deserves protection. Here's what we do to keep your data safe.

Technical Safeguards

  • 256-bit SSL encryption for all data transmission
  • Encrypted storage for sensitive financial information
  • Regular security audits and penetration testing
  • Multi-factor authentication options for account access
  • Automated backup systems with secure off-site storage
  • Firewall protection and intrusion detection systems

Operational Security

Our team follows strict protocols:

  • Limited employee access based on job requirements
  • Background checks for staff handling sensitive data
  • Regular security training for all team members
  • Incident response plan for potential breaches
  • Third-party security certifications and compliance checks

In Case of a Breach: If we discover a data breach that might affect you, we'll notify you within 72 hours via email. We'll also report to the Office of the Australian Information Commissioner as required by the Notifiable Data Breaches scheme.

Data Retention and Deletion

We don't keep your information forever. Here's how long we hold different types of data and why.

Active Account Data

While your account is active, we keep your information to provide our services. This includes your budget data, transaction history, and account settings.

After Account Closure

When you close your account, we begin a deletion process:

  • Immediate: Your account becomes inaccessible and stops appearing in our active systems
  • 30 days: Personal budget data is permanently deleted from our primary databases
  • 90 days: Backup copies are purged from our systems
  • 7 years: We keep limited transaction records for tax and legal compliance, then delete them

What We Keep Longer

Some information stays in our systems for legitimate reasons:

  • Financial transaction records (required by Australian tax law for 7 years)
  • Fraud prevention data (to protect other users)
  • Aggregated, anonymized analytics (no longer personally identifiable)
  • Information relevant to ongoing legal matters

Cookies and Tracking

Like most websites, we use cookies and similar technologies. Here's what that means in practice.

Essential Cookies

These keep sylphiovian working properly. They remember you're logged in, store your preferences, and ensure security. You can't opt out of these because they're necessary for the service.

Analytics Cookies

We use analytics to understand how people use sylphiovian — which features are popular, where people get stuck, what needs improvement. This data is aggregated and doesn't identify individuals.

Your Cookie Choices

You can control cookies through your browser settings. Blocking them might affect how sylphiovian works, but you're free to do it. Most browsers let you delete existing cookies and prevent new ones.

Third-Party Links

sylphiovian sometimes links to external websites — budgeting resources, financial education content, partner services. Once you click those links, you're on their turf, and their privacy policies apply.

We try to link to reputable sites, but we can't control their practices. Take a moment to read their policies before sharing personal information.

Children's Privacy

sylphiovian isn't designed for children under 18. We don't knowingly collect information from minors. If you're a parent and discover your child has created an account, contact us and we'll delete it immediately.

Changes to This Policy

Privacy practices evolve, and so might this policy. When we make significant changes, we'll notify you by email and update the "Last Updated" date at the top.

We'll give you reasonable notice before changes take effect. If you disagree with the new terms, you can close your account before they become active.

International Data Transfers

sylphiovian operates primarily in Australia, but we use some international service providers (cloud hosting, support tools). When your data leaves Australia, we ensure:

  • Transfer is to countries with adequate privacy protections
  • Contractual safeguards are in place with service providers
  • Data remains encrypted during transfer
  • Compliance with Australian cross-border data flow requirements

You can request details about where your data is processed by contacting our Privacy Officer.
